Small Office Moves in NYC: A Low-Cost Checklist

A small office move, with a few desks, a server closet and a copier, can often be done in a day without stopping the business. The hard part is usually the paperwork and the buildings, not the lifting. This checklist keeps both under control.
Four weeks before: the buildings
Ask both buildings for their move rules: the allowed days and hours, the freight elevator reservation, the loading dock, and the exact wording they need on the certificate of insurance (COI). Buildings often set the days and hours for office moves, so ask first and book the mover second.
Two weeks before: plan and label
Draw a simple floor plan of the new office and give each desk a number. Label every box, chair and cabinet with the number of the place it goes. Photograph the cables behind each computer before you unplug it, and back up your data. Check your copier lease to see who must prepare or move the machine.
Moving day
The crew can take apart and put back desks and cubicle systems, pack and crate electronics, and move computers, server equipment and copiers. Keep one person on each end who knows the floor plan and can answer questions. See our commercial moving page for the full list.
Update your business address
- IRS: Form 8822-B reports a new business mailing address or location. A change of the responsible party must be reported to the IRS within 60 days.
- New York State tax: the Department of Taxation and Finance lets you change a business address in Business Online Services, or on Form DTF-96. Other account changes use Form DTF-95.
- USPS: a business change of address can be filed online with identity verification. The Postal Service says to allow at least 7 to 10 business days, and some sensitive mail from government agencies and banks is not forwarded, so update those senders directly.
After the move
Update your website, invoices, e-mail signatures and business cards. Keep the movers' paperwork with your records, and walk through the old office before you return the keys.

Can an office move be done over a weekend?
Often, yes, if both buildings allow it. Ask them for the allowed days and hours first.
Do we need a certificate of insurance for an office move?
Many managed office buildings ask for one. Get the exact wording from each building early.
How do we tell the IRS about our new address?
With Form 8822-B. Responsible-party changes must be reported within 60 days.
